Major Events

Events may range from small private functions or large public events attracting thousands of attendees that requires complex event management. Events may include but are not limited to cultural and community celebrations/festival/concerts, public rallies, street parades and marches, circuses, markets, certain sporting events or private ceremonies including weddings or naming days.

Parks and Reserves

Where Council's parks and reserves are utilised for their intended purpose such as small gatherings of less than 50 attendees eg BBQ, picnics or other small activities, Council approval is in most circumstances not required. However if you'd like to use Council's parks, reserves or beaches for a private ceremony such as a wedding or naming ceremony the following form is required to be completed. Please note that amusements are not permitted for small private functions such as birthday parties.

Halls and Community Centres

Important notice regarding COVID-19 — to help stop the spread of coronavirus, Council's halls and community centres are closed to the public until further notice.

Council operates 16 community halls.  These halls vary in age, design, size and in the facilities they offer. Hall hirers are asked to leave the hall in a clean and tidy condition which assists the hiring charges of community halls to be as low as possible.

All bookings and enquires for our halls and community centres must be made directly to the hall contact officer. Council does not handle any hall bookings.

Casual street stalls and fundraising

Important notice regarding COVID-19 — as of 23 March 2020, all current Casual Street Stall approvals have been revoked. No further applications will be approved in the current environment.

Port Stephens Council is proudly supportive of fundraising, charity events and community groups conducting street stalls. Street stalls are used by charity organisations and locals in the community for the selling of goods and services in a public place and are a great way of promoting and raising funds for your charity, selling raffle tickets, and many other events.

There are a number of areas that you can set up a fundraising or charity stall or conduct fundraising in the streets adjoining, including but not limited to:

In Nelson Bay:

  • Corner of Stockton St & Victoria Pde
  • In front of Post Office
  • Stockton Street Stage area

In Raymond Terrace:

  • 36 William Street (out front of Newcastle Permanent)
  • The grassed area outside of Centro
  • Outside of Marketplace

To apply for a Casual Street Stall, please complete an application form and return it to Council.

Approval from council must be obtained before the street stall commences. To find out more view the Outdoor Trading Policy on our policies page.

Sport Facility and Sports Function Room Bookings

If you are a sporting club who would like to reserve a sporting facility, please complete a Sport Facility Use Agreement (found below in Downloads) and send to the relevant Booking Officer as listed in the table below. If you would like to book the Elizabeth Waring Function room or the King Park Function room, please complete a Sports Facility Function Room Application Form (found below in Downloads). Please attach a copy of your public liability insurance with the application, minimum $20 million and Port Stephens Council as a noted interest.

Please allow a minimum of 2 weeks for the request to be processed.
