COVID-19 update

Council meetings are being held in the Council chambers again after the removal of the 'stay at home' direction in the public health order. The Mayor, Councillors and staff are now permitted to leave their homes to attend council meetings in person.

Under the current public health order, community members will not be able to attend until the public health order around public gatherings is relaxed.

Meetings will continue to be webcast live from 5:30pm or immediately following public access at portstephens.nsw.gov.au/webcasting

Council will continue to be guided by NSW public health orders and the Office of Local Government in relation to community attendance at Council meetings.

Public access requests will be considered in one of the following formats, which must not take longer than 5 minutes:

  • presentation
  • voice recording
  • video recording
  • document that can be read to the Council.

A public access request must be submitted by 12 midday on Monday prior to the Tuesday Council meeting. A file in one of the above formats must be submitted by 12 midday on the day of the Council meeting.

When does Council meet?

The Ordinary Meeting is held on the second and fourth Tuesday of each month from 5.30pm in the Council Chambers at the Administration Building, 116 Adelaide Street, Raymond Terrace. The public is welcome to attend the open session of Council.

The role of the Ordinary Meeting is to consider and make determinations on reports before Council along with the General Manager's Reports, Mayoral Minutes, Notices of Motion, Rescission Motions and Confidential items.

The General Manager and Group Managers attend the meeting to advise Councillors where necessary.

The Extract Minutes are a record of the resolutions made by Council, these are prepared directly after the meeting and are uploaded to the Agenda and Minutes section of this website to the website the day following the meeting by 5pm.

Public access

Public Access provides a forum for community members to speak directly to the Mayor and Councillors about local or Council issues. It is held at 5.30pm on the second and fourth Tuesday of each month prior to the Council meeting.

Public Access sessions are restricted to a total of 12 speakers per month with 5 minutes per speaker. There is a limit of 2 speakers for and 2 speakers against any issue. The Mayor has delegated authority to approve or refuse applications.

Applications must be received by the Mayor's Office by 12 midday Monday prior to the Tuesday of the Ordinary Meeting.

**Note: Council at its meeting held 27 February 2018 (Minute No.041) resolved to hold one regular Council meeting in the community for the remainder of the Council term, with the meeting to be held during Local Government Week or the closest date prior to the start of Local Government Week.
